Take Note provides transcription services to businesses of all sizes. They offer world-class customer service, with offerings from audio and video transcription, through captions and sub-tittles to live note-taking. They give customers confidence in the security of their service through both ISO and GDPR certifications.

Take Note has an expert team of over 600 transcribers and work with customers such as Expedia, The Telegraph and Viacom.

Take Note were using the GSuite range of productivity tools to perform their office-based roles and, whilst many users loved the interface and the deep search integration they had, there was a more significant requirement to implement an enterprise-class security strategy within the business to protect its position as a leader in the transcription industry.

Carbon Cloud undertook a series of workshops with Take Note to understand the business’s requirements and also the way in which users preferred to work. As a result of this strategic consultancy Carbon Cloud produced a Security Roadmap for Take Note that would be underpinned by a Security Managed Service.

Just as this service design was agreed the COVID19 pandemic hit and Take Note had immediate requirements to support users in remote working and to increase collaboration between staff in many different locations.

Whilst some Take Note users liked using the Gsuite products, it was felt that the Microsoft 365 solution was a more rounded fit to all of Take Note’s requirements. It gave them all the productivity tools they needed, enabled them to use Teams for remote collaboration and added all the benefits of Intune and Azure Active Directory for security.

Carbon Cloud worked with Take Note to design a migration plan that would fit around user’s work patterns and ensure that all of the processes that were in place in the GSuite environment could be performed in the new Microsoft 365 solution. This involved use of shared mailboxes, integration with Hubspot and ensuring that the correct mail hygiene strategy was in place.

Once the migration to Microsoft 365 was underway, Carbon Cloud helped Take Note to design a data hierarchy that would support the security and usability needs of the business. Data was then migrated from individual google drive folders into One Drive for Business and sharepoint. This gave Take Note control over company data, with greater flexibility to share information. This was supported further by the organisation’s use of Teams.

Carbon Cloud was then able to implement further security controls for the business as part of the Managed IT Security service. This included mutli-factor authentication, hard drive encryption and policy-driven mobile device management and mobile application management using Intune.

Take Note now have a system that protects corporate data, uses conditional access to ensure that information will always be protected, whilst still allowing users that flexibility to work on whichever device suits them and the task they are completing.
